Who we are

Stray Anchor Invoice Match is a Shopify app made by Stray Anchor Pty Ltd (ABN 22 700 917 111), Perth, Western Australia. It checks supplier invoices against a store's Shopify purchase orders and what was received, and creates approved bills in Xero or QuickBooks.

What we collect, and why

• Supplier invoices you upload or that are emailed to your store's invoice address: the file, the email it came with, and what we read from it (supplier, invoice number, dates, lines, charges, tax and totals).
• Purchase orders and what was received, read from Shopify to check each invoice: items, quantities, costs and accepted quantities. We keep the result of each check with the invoice.
• Your store's name, currency and country from Shopify, to show amounts and dates the way you expect.
• Your Xero or QuickBooks connection: the organisation's name and the access tokens it gives us (encrypted), the accounts and tax codes you choose, and which contact each supplier's bills go to.
• Who approved each invoice (the Shopify staff account), so there's a record of every bill created.

We don't access or store information about your customers or their orders.

Reading invoices with AI

We send each invoice to Anthropic's Claude API to read its lines and totals for you to review. Nothing is sent to your accounting system until you approve it. Anthropic does not train its models on data sent through its API, and neither do we. Data from Xero or QuickBooks is never used to train any AI model.

Who processes data for us

• Shopify, where your store and purchase orders live.
• Microsoft Azure (Australia), which hosts the app, its database and the invoice files (in private storage).
• Cloudflare, which receives invoices emailed to your address.
• Anthropic, which reads invoices as described above.
• Xero or Intuit (QuickBooks), when you connect them, to create your bills.

How long we keep it

Invoices and their checks stay until you uninstall. When you uninstall Stray Anchor Invoice Match, Shopify tells us 48 hours later and we delete everything we hold for your store, including the invoice files. Disconnecting Xero or QuickBooks revokes our access and deletes the tokens straight away.

Your choices

You can dismiss an invoice or disconnect your accounting system at any time. To ask what we hold, or to have it deleted sooner, email hello@strayanchor.com.au.
